How to Set Up Lot Tracking

LVK tracks lots and expiration dates for products that require it. The most common product types include:

  • Food products
  • Vitamins or supplements
  • Pharmaceuticals or health products
  • Personal care products
  • Cosmetics and skincare

How to Send Products

  • You must visibly label each product with its lot number and/or expiration date. LVK will then apply lot and expiration tracking to that product.
  • LVK is not responsible for relabeling or changing expiration dates on products.
  • LVK will dispose of expired inventory at its discretion.
  • Lot and expiration tracking incurs an additional fee — refer to Schedule A in your Fulfillment Service Agreement.
  • At times, LVK will accept Production Run documentation in lieu of an expiration date, but this must be approved in writing by LVK.
  • Do not mix lots of the same product in one box. Keep each lot in a separate carton so it can be stored correctly.
  • If a product has a lot code but no expiration date, provide the production date.

Tracking for products with expiration dates is mandatory per the FDA (Federal Drug Administration).

Why LVK Uses Lot and Expiration Tracking

  • LVK ships your oldest product first and stops shipping any lot that has expired, so customers always receive non-expired product.
  • Each lot is stored in its own location to prevent mixing.
  • By default, LVK stops shipping products 45 days before their expiration date. You can adjust this in your settings.

Recalls and Damaged Product

  • If a product is recalled, notify LVK immediately with the affected lot number so units can be quarantined.
  • For quality-related recalls, LVK can hold the product for up to 30 days while you determine next steps.
  • For recalls involving mold, fungus, or hazardous conditions, affected units will be disposed of or removed immediately to prevent contamination.
  • Damaged tracked products will be set aside for up to 30 days while you determine next steps.
  • If damaged units leak or have an open food source, they will be disposed of and deducted from your inventory immediately.

  • LVK locations are FDA-approved and can store shelf-stable products in ambient conditions.
  • LVK does not store products that require temperature-controlled environments.
  • LVK reserves the right to refuse products with inappropriate expiration dates.
  • LVK will not change lot numbers or expiration dates on any product.

How to Set Up Lot Tracking

Configure lot tracking in your Lot Tracking Settings:

  1. Enable FEFO (First Expired, First Out) to prioritize shipping inventory with the nearest expiration date.
  2. Set the number of days before expiration to stop picking — this prevents expired products from being shipped.
  3. Set up an automated email reminder to receive reports on lots approaching expiration.

Once lot tracking is enabled, check the Lot box when adding new products.

LVK cannot ship expired products. If you have expired inventory, submit a disposal or removal request — otherwise LVK will dispose of it.
